Nonprofit / Youth Development

From spreadsheets to a scalable platform - nearly a year ahead of schedule.

Gold Youth Development Agency needed to digitize a complex, paper-based monitoring and evaluation system used across Africa. Other firms looked at the requirements and walked away. We shipped a testable MVP in six months on an eighteen-month timeline.

The challenge

Gold Youth Development Agency - whose name stands for Generation of Leaders Discovered - is a nonprofit that has spent two decades building a peer education model across Africa. They embed peer leaders and mentors into schools and communities, helping young people in poverty become agents of positive change.

After twenty years of steady growth, Gold reached a point where their ambitions outpaced their systems. Their monitoring and evaluation data - tracking 111,000+ participants across multiple countries - lived in spreadsheets. Field workers collected data on paper. Reports were compiled manually.

Gold needed a digital platform that could capture attendance and participation data offline on phones and tablets in areas with no connectivity, then sync to a central data warehouse. More than that, they needed the data infrastructure to prove measurable impact at every level - so they could link funding directly to the grassroots organizations delivering results.

It was a massive, multilayered system. Gold presented the requirements to several development firms. Most were intimidated by the complexity and declined to take it on.

Why Digital2DNA

Jackie Latimer, Gold's Head of IST, described how Digital2DNA stood apart from the start:

“When you present something complex to someone, you can tell by the quality of their questions whether they really understand technical work. I was impressed first by Johan and then by Michael, and I'm glad that instinct was right.”

— Jackie Latimer, Head of IST

Where other firms saw an overwhelming spec, Digital2DNA engaged immediately - asking the right questions, helping Gold refine their requirements into workable user stories, and demonstrating a level of technical understanding that gave Jackie confidence from day one.

“Many of the people we approached to build the system decided it wasn't something they wanted to take on because it is quite complex. Digital2DNA was amazing in helping us define the system through agile user stories.”

— Jackie Latimer

How we worked together

Digital2DNA ran one-week delivery cycles with weekly demos. Jackie served as product owner, reviewing working software every week and providing direct feedback to the development team.

The team operated on a pairing model with continuous collaboration across time zones. Gold is based in Cape Town, South Africa. The team used async communication through Slack and Azure DevOps boards as the source of truth.

“You really use systems well to optimize asynchronous communication. Your boards and tickets are updated regularly, and the board is the source of truth. I hate unnecessary synchronous communication, so I really appreciate that.”

— Jackie Latimer

“That genuine desire to understand how the system would work best from a user perspective is something I haven't really experienced before.”

— Jackie Latimer

What we delivered

Starting with an ambitious eighteen-month plan, Digital2DNA and Gold prioritized capturing all core data and basic reporting functionality to validate the database schema early. Six months into focused development:

  • A testable MVP was ready - nearly a year ahead of the minimum viable product deadline
  • The platform supported data capture across the many user roles and activity types in Gold's system
  • Field workers could collect data offline on phones and tablets, then sync when connectivity was available
  • Automated reporting replaced manual compilation, freeing staff to focus on program delivery
  • The database schema was validated against real data, giving Gold confidence in the foundation for future features

“We are almost ready to go live with robust user testing, and we're nearly a year ahead of schedule for our minimum viable product deadline.”

— Jackie Latimer

“For the end users we focused on, the functionality they need is there. They won't be filling in paper-based registers anymore. They'll be able to do it in the web app on their phones.”

— Jackie Latimer

The results

Gold now has a platform that can scale with their mission. End users in the field have the tools to do their jobs digitally. Leadership has the data infrastructure to prove impact and connect funding directly to the grassroots organizations delivering results.

“One of the biggest benefits has been the ability to breathe easier because we found a reliable and trustworthy partner to walk this road with.”

— Jackie Latimer

When asked to rate Digital2DNA on a scale of 1 to 10:

“A 10. I have no reservations. I've honestly been delighted by the service you've provided, your professionalism, your warmth, and the way you work.”

— Jackie Latimer

In Jackie's words

“I've never worked with a team of developers that is this positive, engaged, and productive.”

“You guys have integrity and heart, and you're a really smart bunch who get things done.”

“You do Agile better than I've ever seen a development team do it before.”
